Refunds, credits and comps
The three ways money comes back out, and when to use each.
Works today
Somebody drops out. What happens to their money is your decision, and the interface makes you make it rather than guessing on your behalf.
Three ways out
- Refund — back to their card. Cleanest, costs you the processing fee.
- Credit — held against a future game. Keeps the money with you and usually keeps the player too.
- Keep it — for a late drop-out under a policy you published. Defensible if you said so up front, not if you did not.
When you promote someone off the waitlist you choose whether they are charged, waived, or invoiced. Same principle: three explicit options rather than one assumed default.
Common questions
How do I let someone in free?
Comp their ticket. It is recorded as comped rather than paid, so your numbers stay honest.
Someone paid, sat on the waitlist and never got on.
Refund them. You will be prompted at the end of the game rather than having to remember, but the click is yours.
Can I change the price after people paid?
You can, and you will be warned. Consider crediting the difference to whoever paid more — it costs less than the goodwill does.
